Operations

Financial report

Stephen circulated a financial report ahead of the call. An issue with CiviCRM meant we couldn’t crosscheck the values during the meeting.

SotM-EU

Funds for SotM-EU are being clearly identified and an independent ledger is being kept by Gregory to ensure moneys coming in for SotM-EU are kept track of. There’s a temporary withdrawal block from paypal due to the amounts coming in but this is being addressed by Stephen and Jon (former treasurer).

Website Updates

Gareth needs to contact our hosting provider to adjust a setting for CiviCRM.

Gareth needs to liaise with Stephen to change AWS payment details.

AGM 2025

The directors discussed scheduling the AGM and are exploring the potential of hosting it at SotM-EU. Rob W to check with the organising committee what options are available. There was a preference for hosting it on the Friday, if possible. If this was to happen, we’d need to announce at the end of September to provide sufficient notice.

Projects

Quarterly project 2025 Q3 and Q4

Disorganisation means the Q3 project will not go ahead. We discussed the potential of Dundee being the focus for Q4 (to coincide with SOTM-EU) and starting it slightly earlier. We will look at ideas with local contributors.

SotM Europe 2025

We received a brief overview of status from Rob W and Stephen as they’ve been involved in some of the planning.

Any Other Business

Mapathon ideas

Rob W shared the idea of having a concerted effort to fix certain data problems, either in an area or for a topic. These would be things which are objectively verifiable and are not subject to multiple interpretations. An example was the weight limits actually being HGV limits, or incomplete tagging where conventions are agreed.

Gareth suggested we work out the structure/framework (selection, preparation, execution) of such an exercise and trial it, before committing to any cadence.
